Outlook: Block External Images Settings Update

Outlook on the web and the new Outlook for Windows now support will support new settings for loading external images. New settings will allow customers to block all external content, or to load all content by default if the customer admin allows. Existing default behavior will not be changed (load external content only for safe senders).

When sorting on Outlook for Web or Outlook for Windows, if the Sort By field is not one of From, Subject, or Date Received, we will now show an additional column for the Sort By value (e.g., Size). We will also support sorting by Flag Due Date.

Outlook: All Accounts view (Unified Inbox) brings your email into a single inbox view

The All-Accounts view, also known as Unified Inbox, lets you see emails from multiple accounts in a single inbox view in the new Outlook for Windows, without merging your mailboxes. Each account's inbox stays separate; the view brings them together so you can triage in one place. Users can read, delete, move, archive, and mark messages across accounts without switching between mailboxes. The experience integrates with Copilot for AI-assisted email workflows and supports Immersive Search for finding messages across your primary account. Advanced scenarios such as cross-account search and shared mailbox support will follow in later releases.

Users can now collaborate with Copilot to make improvements to email drafts. Select a section of the draft and ask Copilot to make changes, like changing its length, tone, or structure.

Outlook: Navigate Your Favorite Folders Without Expanding the Folder Pane

You can now quickly switch between your favorite folders without opening the full folder pane. When the pane is collapsed, your favorite folders appear as a vertical list, giving you one-click access to the folders you use most. Each folder shows unread or total counts so you always know what needs attention. Right-click any favorite for the same options you're used to, and your selections stay put across sessions. It's a familiar experience for anyone who loved favorites in classic Outlook, now built right into the new Outlook. #newoutlookforwindows

Outlook: Choose to Show Unread or Total Count for Each Folder

You can now pick whether each folder in your folder pane shows the unread count or the total item count. Until now, Outlook only displayed unread counts, but sometimes you need to see how many items are in a folder overall. Just right-click any folder and choose whether to show the total or unread count. It gives you more control over how you keep track of your email without changing how anything else works. #newoutlookforwindows

Outlook: Emails marked with External to be supported as Rules conditions

The External tag on an email, set by the ExternalInOutlook feature, will now be usable as a condition in Outlook Inbox Rules. This change also makes available the ability to create or modify these Rules on the new Outlook for Windows, Outlook Web, and Outlook for Mac.

Outlook: 1-year and 2-year options for email sync window (Offline settings)

In the new Outlook for Windows, users can choose to save 1 year or 2 years of email on their device for offline access. This expands the existing offline settings and allows users to access more email when they are not connected to the internet. The new options are available under Settings > General > Offline > Days of email to save, giving users greater flexibility based on their storage and offline needs."

Outlook: Jump to Any Folder Instantly with Go to Folder

You can now quickly search for and navigate to any folder in your mailbox using the new Go to Folder feature. Instead of scrolling through long folder lists, just press Ctrl+Y or access it from your accounts context menu to instantly find what you need. You can now use a work week calendar view on iOS and iPad to focus on the days you work. On iPad, you can select "work week" directly from the view picker. On iOS, you can select work week from the view picker when you rotate your device to landscape. You can choose which days are included in your work week by syncing from your default account or by customizing the days just for your device.

Outlook: One-step folder sharing

Today, sharing a folder requires manually sharing each parent folder in the hierarchy. Outlook will simplify this by allowing users to share a folder in a single step, automatically applying the required permissions to its parent folders. Before sharing, users will clearly see which folders (including parent folders) will be shared. This removes manual effort while keeping users informed and in control.

Customers can now customize their M365 profile cards by adding custom properties unique to their organization. These properties can be sourced from external systems like HR platforms, enriching user profiles with relevant organizational details. Tenant admins can configure these properties with a display name and icon, which will appear in the Contact Information section of the profile cards.

If you have enabled Show declined events in New Outlook, you can choose to hide declined events in your Outlook iOS or Android app. Go to Settings > Calendar > Hide Declined Events. This will filter out declined events from your mobile calendar, while keeping those events visible in New Outlook.

Outlook: New third-party enriched properties available for customizing profile cards

Customers can now customize their M365 profile cards by adding new properties such as Cost Center, Role, Employee Type, Employee ID and Division. These properties will show in the Contact Information section and can be ingested from external sources like HR systems, so that users' profiles are enriched with relevant information.

Microsoft Teams: Unified Agent and App Availability Management Across Microsoft 365 and Teams Admin Center

Administrators using the Microsoft 365 admin center and Teams admin center who manage agents and apps that work across Teams, Outlook and the Microsoft 365 copilot will be able to apply their changes consistently across all these surfaces. Before this update, changes made through the Integrated Apps section in the Microsoft 365 admin center would only affect these apps on Outlook and the Microsoft 365 copilot; similarly, changes made in the Teams admin center would exclusively affect Teams. With this change, app and agent availability will be unified across Teams, Outlook and Microsoft 365 copilot.

Outlook: Chat for Outlook iOS and Android

On phone devices, users currently access Copilot Chat in Outlook Mobile via a tab at the bottom of their screen (or in Apps). Outlook is introducing a new Copilot Chat overlay experience, allowing users to chat with Copilot while continuing to interact with their email, calendar, and contacts. This overlay will be context-aware—understanding what the user is viewing—so users can ask Copilot about the content on their screen. Users with M365 Copilot licenses will also benefit from Copilot’s ability to draw on Microsoft 365 Graph to provide richer, more personalized responses.

This feature reduces accidental message sends by moving the send button from the bottom of the compose view, in the compose toolbar to the header of the compose view. You can save a meeting as a draft on your calendar if you aren't ready to send the meeting invites. When composing an event with at least one attendee added, select dismiss and then select Save as a Draft. The draft event will show on your calendar as [Draft] along with the title of the event.

Often you may want to transition a conversation from an email thread to a meeting. Copilot helps you do this by being able to start scheduling right from the email conversation. It saves you time and effort by generating a meeting invite that's ready for you to review and send. When you click on "Schedule with Copilot" a meeting form will appear with a Copilot generated meeting title, agenda, and conversation summary as well as a pre-filled attendee list from the email thread and an attachment of the original email thread. We’re making it easier to keep your inbox clean and under control. Now, when you report an email as junk, you’ll also have the option to unsubscribe—if that’s available. This helps stop unwanted messages at the source and keeps your blocked list from getting overloaded. If unsubscribing isn’t possible, you’ll still be able to block the sender to prevent future emails. This update gives you more control and a simpler way to manage unwanted messages.

Copilot makes it fast and easy to schedule a meeting from an email thread. When you use the Schedule with Copilot option, Copilot analyzes the email and creates a meeting invitation for you, filling in a meeting title and agenda, and adding the email thread as an attachment. The people on the email thread are included as meeting attendees, and you can quickly review the invitation, add or change info, and then send it out.

When single clicking on an empty time slot on the calendar surface, the quick compose pop-up will no longer be shown - instead, you will be able to create an appointment by typing directly in the time slot on the calendar grid, just as you can in classic Outlook for Windows. This update brings a new look with the daily peek: click on your work location icon at the top of your calendar to change your work location, view who else will be in the office, or receive suggestions to help optimize your work day. This feature will come to the new Outlook for Windows and Outlook on the web. Your work location will reflect across Microsoft 365, such as in Teams and your profile card. You can also update your location from Teams which will stay in sync with Outlook.
