SharePoint: Power Automate trigger and action for forms in SharePoint

We are introducing new Power Automate integration capabilities for forms in SharePoint, enabling customers to create automated workflows based on responses collected using list forms, file upload forms, and document generation forms. With this update, a new trigger and action are now available in Power Automate: Trigger: When a form is submitted This operation triggers a flow when a list form, document generation form, or file upload form is submitted. Customers can use this trigger to initiate automated workflows such as approvals, notifications, or routing based on form submission events. Action: Get form metadata This action retrieves the metadata of a form, which includes the form ID, title, link, form type, output format, and the form questions used to collect information. This enables Power Automate flows to dynamically read form schema before executing downstream automation logic. Disclaimer: Document generation forms are part of AI in SharePoint Public Preview. Access to DocGen Forms capabilities may be limited to customers enrolled in the preview program. List forms and file upload forms are not part of the AI in SharePoint preview.

New improvements are coming to the rollout wave functionality for Cloud Update. Microsoft 365: Change Meeting Organizer via PowerShell Cmdlet in Exchange Online

Allows the administrator of an Exchange Online tenant to change the organizer of an existing meeting or meeting series via a PowerShell cmdlet. This can be used, for example, to maintain continuity and history of a long-running meeting series in cases where the meeting organizer has a new role, is on leave, or during the offboarding process. Once the meeting is transferred, the new organizer will be able to maintain all properties of the event including meeting time and recurrence, attendees, and description. Meeting attendees within the Exchange Online tenant will not need to re-RSVP and the existing event on their calendar will be silently updated with the new meeting organizer information. A subsequent feature will enable users to to change the organizer via Modern Calendar in OWA, New Outlook, and Teams. For user-initiated transfers the new organizer must accept the meeting before the transfer completes.

Microsoft 365: People Skills profile editing improvements

People Skills is releasing two updates to give you more control over how others see your skills profile and ease of access for skill profile management. With these updates, you can easily control the order in which the skills you confirm are displayed to others in your profile card. Additionally, you'll find a new deep link directly to skill profile editing from the Skills component on the profile card. These updates will begin rollout to customers in November and are expected to be available to all People Skills customers by December.

We are introducing a dynamic filtering experience in Microsoft 365 Copilot search that empowers users to refine their results more precisely by leveraging data source-specific filters in the right rail. When a user selects a data source from the right rail, such as Outlook, SharePoint, Jira, or Copilot Chats, the interface dynamically presents a tailored set of filters specific to that source. These refiners allow users to narrow down results based on attributes unique to the selected data source, such as item type, status, or semantic labels.

Documents that have been electronically signed will now be automatically recognized and tagged as “Signed” upon upload to SharePoint. This enhancement also applies retroactively as existing e-signed files will be updated with the appropriate tags. To give users more visibility and control, we’re introducing two optional metadata columns for document libraries: Electronically Signed – Indicates whether a document has been eSigned. Signature Provider – Displays the service used for the eSignature. This feature is available exclusively to tenants with eSignature enabled, helping streamline compliance tracking and document management.

We're simplifying how organizations grant applications permission to send email on behalf of mailboxes. Today, customers must manually assign permissions to each individual mailbox using PowerShell, which is time-consuming and inefficient. With this new capability, admins can assign the SMTP.SendAsApp role to an app through App Role-Based Access Control (RBAC), enabling group-based or scoped access to mailboxes. This eliminates the need for per-mailbox configuration and streamlines onboarding for SMTP clients using OAuth. It’s a scalable, secure, and modern approach to managing mailbox access for applications.

Traditionally, Exchange has relied solely on the file extension (e.g., .docx, .pdf) to identify the type of an attachment. However, this approach can be bypassed if a file is renamed with a misleading extension. To address this, we’re enhancing our detection logic to go beyond just the visible file extension. With this update, even if a file’s extension is altered, Exchange will evaluate the actual content of the file to determine its true type. This ensures that policies based on file type—such as “File extension is…”—remain effective and secure, even in cases of renamed or disguised attachments. This improvement provides customers with a more robust and reliable way to enforce compliance and security rules around file sharing.

Outlook: Schedule from email with Copilot

Often you may want to transition a conversation from an email thread to a meeting. Copilot helps you do this by being able to start scheduling right from the email conversation. It saves you time and effort by generating a meeting invite that's ready for you to review and send. When you click on "Schedule with Copilot" a meeting form will appear with a Copilot generated meeting title, agenda, and conversation summary as well as a pre-filled attendee list from the email thread and an attachment of the original email thread. This feature will be available in the new Outlook for Windows, web, Mac, and mobile. #newoutlookforwindows

Information Barriers (IB) V2 brings new capabilities including larger segment scale support, multi-segment support, and flexible people discoverability etc. Existing IB v1 tenants require an upgrade to IB v2 to take advantage of these new capabilities. This roadmap item is intended only for all IB v1 customers. All other customers will get IB v2 capabilities when they enable IB in their tenants. IB v2 upgrade will be opt-in.
